We are seeking a part time Care Home Administrator for our Anita Dorfman, Residential & Nursing Home, in Stanmore, North West London. This is an exciting opportunity for an experienced administrator and is an integral part of the organisation. You will be providing a full range of administration services across the home to enable delivery of front line and/ internal support services. you will ensure that all administrative requirements in the Home are maintained and executed in an accurate and timely fashion to allow the smooth running of the Home by meeting deadlines and prioritisation of workload.

This role is part time for 21.5 hours per week, and may require some out of hours working.

What you'll be doing:

  •  Using the financial database to manage and report on financial requirements, ensuring all financial credit controls are adhered to & deadlines met
  •  Using the database to ensure the purchase order process through approved suppliers is managed within budgetary constraints
  •  Managing payroll administrative processes monthly
  •  Supporting staff recruitment processes in accordance with organisational requirements
  •  Providing the administration necessary for the smooth and speedy admission of residents to the Unit ensuring all relevant criteria met
  •  Liaising with Jewish Care Placements Department to gather sufficient information to ensure accurate financial arrangements are in place for new admissions
  •  Maintaining accurate records of each resident’s funding status, in compliance with the Residential Care Homes Act 1984 and other relevant legislation
  •  Managing residents’ finances including weekly fees and personal allowances to agreed standards
  •  Maintaining financial security and guidelines at all times on behalf of the residents and the Organisation to agreed standards
  •  Providing relevant client statistics and reports for Management usage to agreed timescales 
  •  Supporting the Manager or Senior Administration in providing accurate budgetary information to agreed timescales
  •  Maintaining HR database iTrent and ensure all paper work is completed and input for payroll purposes within deadline
  •  Liaising with Voluntary and Statutory Agencies regarding resident funding and benefits to ensure financial criteria is met
  •  Building effective communication with colleagues, residents, resident’s relatives and volunteers to maintain excellent customer service
  •  Minute  taking at meetings as and when required to support management

What you'll need:

  • Degree educated in Business Management or equivalent desirable
  • GSCE English Language, basic accounting or equivalent
  • Experience of working in an Health & Social Care environment
  • Ability to relate well to people from a variety of backgrounds, including residents and their families, staff and volunteers.
  • Experience of personnel and payroll administration
  • Understanding of Local Authority and DSS funding desirable
  • Experience of financial problem solving
  • Experience in multifunctional administrative role
  • Use of a vehicle for work
